Switching

Nothing changes until you’ve seen it work.

You don’t cut over to Mewa.io on faith. We run alongside your current manager first, preparing the filings, reconciling the premiums and enrollment, matching their numbers, until you can see it’s right. They stay fully in place and responsible right up to the cut-over. Then we make the change on your timing, with your employers and brokers barely noticing.

We match your current manager’s output before anything switches, and raise what does not agree.

The path

What a move looks like.

Every plan is different, but the shape is the same.

1
Audit & connect

Most of what we need is already public. Your plan structure, your participating-plan roster and your filing history come off the public record before your current manager is involved, including any participating employer that appears in coverage but has no return on file. Then we stand up your carrier and bank feeds.

2
Reconcile in parallel

We reconcile premiums and enrollment alongside your current manager and match the numbers. Your market insights come online here, value before you’ve switched.

3
Notify

About 30 days out, your employers and brokers hear about the change, from you, or from us once you approve the wording, with a couple of light reminders.

4
Cut over

The target is set up front, usually a plan-year boundary or just after a filing, though a mid-year change works too. If the numbers are matching when it arrives, you switch. If they are not, the date moves. Your current manager finishes what they ran; we pick up from there.

Your history, your people

We handle the transition. Your employers and brokers don’t have to do a thing.

A switch shouldn’t cost you your history or put your groups and brokers through a fire drill.

From the cut-over forward, everything Mewa.io produces for your plan lives in your Document Center. The records that predate us, such as plan documents, SPDs, participant data and prior filings, we help you collect from your current manager and load in as they’re provided, since those belong to the plan. Your 5500 filing history is also a matter of public record through EFAST2, so it stays available to reference regardless.

And there’s nothing for your employers to migrate or set up. We handle the notices, on your sign-off; they keep finishing requests from an email; and no one has to learn new software. If anything it gets lighter, fewer things to track, every document in one place.

Your brokers keep every group they manage and the access they had. Nothing moves out from under them. And for many, Mewa.io isn’t even new: because it has supported tens of thousands of employers on the platform since 2019, your brokers and groups may already be familiar with it.

No gap

Nothing falls through the cracks.

The handoff is drawn so no obligation is left without an owner.

Your current manager completes the filings for the periods they ran; we own everything from the cut-over forward; and anything that straddles the line is assigned by name before the date, not discovered after it. A plan-year boundary makes the cleanest break, but it isn’t required: because we’ve shadowed your numbers in parallel, we can take the straddling-year 5500 ourselves.

Your whole compliance calendar comes across with it, every obligation, at both levels, already mapped, with nothing left to fall through.
